Extension/Deferral Policy

SCOPE OF EXTENSION/DEFERRAL POLICY AND LEARNER OBLIGATIONS

Learners should consider time management as an important graduate attribute. All learners have an obligation to submit all their assessment and complete work or field placement prior to the expiry date of their course.

EXTENSIONS

If a learner is unable to meet the course deadlines, due to unforeseen circumstances, they MUST make a formal application for an extension to the College administration via email or telephone. Extension applications should be submitted as early as possible (as soon as you know that you will not be able to finish the course in time). Applicants who apply for an extension will be notified via email and given a new end date

The College provide two types of extensions: Granted and Paid.

VALID REASONS FOR A GRANTED EXTENSION

Acceptable reasons for an extension are:

  1. Medical or mental health grounds
  2. Other extenuating circumstances beyond the learner’s control, e.g., death in the family, victim of crime.

DEFERRALS

If a learner is needing to defer from their course they MUST make a formal application for a deferral to the College administration via email or telephone. Deferral applications should be submitted as early as possible (as soon as they know that they will not be able to study for a period of time). Applicants who apply for a deferral will be notified via email and given the dates of their deferral and new end date.

VALID REASONS FOR A DEFERRAL

Acceptable reasons for a deferral are:

  1. Medical or mental health grounds
  2. Having a baby
  3. Other extenuating circumstances beyond the learner’s control, e.g. death in the family, victim of crime.

DEFERRAL PROCEDURES

  1. A 6 week deferral will be granted for the above reasons
  2. If additional deferral time is needed, it will be considered by the trainer
  3. Under special circumstances, a 6 month deferral may be approved by the trainer
  4. If a learner has assessment submitted, the assessment must be marked by a trainer prior to the commencement of their deferral period
  5. While the learner’s study is deferred, they are not able to access their online study portal and are not permitted to engage in any form of work or field placement

Supporting documentation required

Learners must provide a scanned copy of supporting documentation with their application for an extension or deferral. If they do not have the documentation at the time when they make the application, learners should include a note to this effect in their application. They should forward their documentation as soon as possible.
